Campaign Administrator – Music and Culture

Role Description: 

This is an exciting opportunity to join the team to support the specialist music and culture arm of the BUILDHOLLYWOOD sales team as a Sales Administrator. Supporting a team of 7 and reporting into the DIABOLICAL Account Director you will be the administrative backbone of the team, ensuring that all campaign deadlines are met, information is entered accurately on our database system and that photos and artwork files are accurate and on time. You will also conduct weekly research into the upcoming music and cultural releases, collating the information for the wider team, you will be a very confident organiser, adore detail and love music and posters (or you soon will) and be the administrative glue that keeps the fast-paced music sales team on track and being the best in their field.

What You’ll be Doing: 

  • Check that all client’s campaigns are logged accurately on our database and have the relevant paperwork. 
  • Maintain a spreadsheet of artwork deadlines and liaise with clients to secure artwork on schedule. 
  • Secure POs from clients for all campaigns booked in and upload. 
  • Generate POs for all supplier purchases.  
  • Create the weekly photo shoot list for our photographer. 
  • Create and distribute post campaign photo collections to our clients. 
  • ​Create and share instruction files to the relevant teams. 
  • Conduct weekly research into upcoming music, tour and cultural release and present the information to the wider team. 
  • Field client enquiries when the sales team are unavailable. 
  • Keep client contact details database up to date. 
  • Communicate across teams and attend meetings to ensure smooth running of campaigns including liaising with the distribution team to secure any outstanding artwork or paperwork. 
  • Help with any bookings of travel and restaurants. 
  • Keep up to speed with industry knowledge and share with the team. 
  • Assist on events and projects as required, updating our project management software (Asana) with information. 
  • Actively look for ways to improve the workflow and processes, hitting deadlines and accuracy across the team.

  • Previous experience of working in a fast-paced administrative role and to deadline. 
  • Passionate about music and culture and our place in it. 
  • Passion and interest in the arts would be desirable. 
  • A creative mindset.
